Overview
Uploading papers to GeminiPaper is simple and intelligent. Our AI automatically extracts metadata, analyzes content, and organizes your research library.
Upload Methods
Method 1: Drag and Drop
The fastest way to upload papers:
- Navigate to your Library or Dashboard
- Drag PDF files from your computer
- Drop them anywhere on the page
- AI processing begins automatically
Tip: You can drag multiple files at once for batch uploading.
Method 2: File Browser
For a more traditional approach:
- Click the + Upload or Add Paper button
- Click Browse Files in the dialog
- Select one or more PDF files
- Click Open to start uploading
Method 3: Quick Upload (Dashboard)
From anywhere in GeminiPaper:
- Click the + icon in the top navigation
- Select Upload Paper
- Choose your upload method
- Wait for processing to complete
What Happens During Upload?
When you upload a PDF, GeminiPaper's AI performs several tasks:
1. File Validation
- Checks file format (must be PDF)
- Verifies file size (max 15MB for Free, 100MB for Pro/Deep)
- Scans for corruption
2. Text Extraction
- Extracts all text content from the PDF
- Preserves document structure
- Handles multi-column layouts
3. Metadata Extraction
AI automatically identifies:
- Title - Paper title
- Authors - Author names and order
- Institutions - Author affiliations
- Publication Date - When the paper was published
- Abstract - Paper summary
- Keywords - Research topics and terms
4. Content Analysis
- Identifies paper sections (Introduction, Methods, Results, etc.)
- Extracts figures and tables
- Analyzes references
- Generates searchable index
Processing time: Usually 10-30 seconds depending on paper length.
Supported File Formats
PDF Files
- Format: PDF (Portable Document Format)
- Size limit: Up to 15MB (Free) or 100MB (Pro/Deep) per file
- Version: PDF 1.4 or newer
- Text: Must contain selectable text (not scanned images)
Not Supported (Yet)
- Scanned PDFs without OCR
- Image files (PNG, JPG)
- Word documents (.doc, .docx)
- LaTeX source files
Tip: If you have a scanned PDF, use an OCR tool first to make text selectable.
Upload Limits
Free and paid plans have different upload limits:

Batch Uploading
Upload multiple papers at once to save time:
Using Drag and Drop
- Select multiple PDF files on your computer
- Drag all files to GeminiPaper
- Drop them anywhere on the page
- Each file processes independently
Using File Browser
- Click + Upload
- Click Browse Files
- Hold Ctrl (Windows) or Cmd (Mac) to select multiple files
- Click Open
Batch limit: Up to 20 files at once.
Editing Metadata
After upload, you can edit extracted metadata:
Edit Basic Information
- Open the paper details page
- Click the Edit icon next to any field
- Make your changes:
- Title
- Authors
- Publication date
- Keywords
- Click Save
Add Custom Tags
- Open paper details
- Find the Tags section
- Click + Add Tag
- Type your tag name
- Press Enter
Assign to Project
- Open paper details
- Click Add to Project
- Select an existing project or create new one
- Click Save
Troubleshooting Upload Issues
Upload Failed
Error: "Upload failed. Please try again."
Solutions:
- Check your internet connection
- Verify file is a valid PDF
- Ensure file is under the size limit (15MB for Free, 100MB for Pro/Deep)
- Try uploading from a different browser
Metadata Not Extracted
Error: "Could not extract metadata"
Solutions:
- Paper might be scanned without OCR
- PDF might be corrupted
- Manually edit metadata after upload
Processing Stuck
Error: Upload says "Processing..." for over 5 minutes
Solutions:
- Refresh the page
- Check if paper appears in library
- Contact support if issue persists
File Too Large
Error: "File exceeds maximum size"
Solutions:
- Compress PDF using Adobe Acrobat or online tools
- Split large PDFs into separate papers
- Upgrade to Pro or Team plan for higher limits
Best Practices
Organize Before Uploading
- Create projects first
- Plan your tagging strategy
- Set up folder structure
Use Descriptive Names
- Name PDFs clearly before upload
- Include author and year if possible
- Example:
smith-2024-machine-learning.pdf
Upload Regularly
- Don't wait to upload dozens at once
- Upload papers as you find them
- Review metadata immediately after upload
Verify Extracted Data
- Always check author names
- Verify publication dates
- Add missing keywords
Advanced Features
Auto-Categorization
Enable in Settings → Library:
- AI suggests categories based on content
- Automatically tags papers by topic
- Groups related papers
Duplicate Detection
GeminiPaper warns you about potential duplicates:
- Checks title similarity
- Compares author names
- Verifies DOI/ISBN if available
Choose to:
- Skip: Don't upload the duplicate
- Upload Anyway: Add as separate entry
- Replace: Replace the existing file
PDF Viewer
After upload, view papers directly in GeminiPaper:
- No download required
- Highlight and annotate
- Navigate by sections
- Full-text search within document
